Development Department

Position: Special Event Logistics Volunteer/Intern (Non-Paid)

Purpose: Assist with special event logistics for the Center’s annual Special Events which includes the Spring Fling Black-tie Gala, Surf Dog Surf-a-thon, HOPE Telethon, Kids Putting for Pets, and the Walk for Animals.

Schedule/Time Commitment: 4-6 hours per week (Monday through Friday) with a 6-12 month commitment overall.

Responsibilities:
• Place calls to obtain contact names and address information. Data entry. Customize letters, use mail merge and prepare event packets for mailing.
• Knowledge of event planning, including details of forecasting timelines, needed supplies, and the varied tasks which need to be completed to put on the event.
• Make prompt follow up calls to answer questions to confirm event participation details.
• This position may include some solicitation for event donations such as auction items.
• Assist in record keeping and acknowledgements.
• Follow timelines and complete assigned event duties reliably.
• Some lifting will be required for physical prep, setup and take down of event.

Preferred Qualifications:
• Working towards meeting, event management, marketing, business or fundraising degree or certificate.

Requirements:
• Event coordination experience helpful. Excellent planning, coordination and organizing skills.
• Computer skills in Word and Excel.
• Comfortable on phones. Professionalism, tact, and courtesy in dealing with the Center’s current donors and potential prospects.
• Attention to detail and ability to meet deadlines.
• Interest in helping people, animals, and the community.

Skills And Experience:
• Critical thinking, coordination and initiative to adjust to changing event needs.
• Excellent communication skills in contacting individuals, retailers, service groups, and businesses about details of participating in special events.
• Good grammar and composition skills with the ability to draft letters.
• Willingness to work with a variety of staff and volunteers.
